    Default Justification for re-classification- please read.

    Short version of the story...an employee here left and I was moved in to her position, with a few tiny differences. Because things are weird (we are a non-rpofit operating under the ubmrella of a larger non-profit than adminsters things liek HR, payroll, etc. for us), I had to be doing my new job for 6 months befor I coudl be offically re-classified. That time has passed and now we have to submit the reclass for their approval. (Lame system!) IThe letter is very important not only so that this gets approved, but also because it sets the tone for the conversation my boss has with me about the raise that will come with the reclass. Please give me your thoughts! (I've edited out the name of my workplace and changed it to "(center)", adn taken out a few other idnetifiers.) TIA!!!!!!

    For your reference because it's mentioend a zillions times, my working title has changed from Admin. Assitant to Program and Events Coordinator, but classification would be from Admin. Assistant I to Program Specialist I.

    Reclassification: (Center) Program Specialist I

    The justification for re-classifying the (CENTER) Administrative Support Assistant I (administrative Assistant) to a Program Specialist I is an overall increase in duties performed by this position caused by a shift in employees to fill a vacancy. Specifically, person in this position has acquired new and increased responsibilities caused by the resignation of the (CENTER)’s Program Specialist II (Old Employee; Manager, Programs and Events). After Old employee’s resignation on June 24th, 2005, her job responsibilities were re-assigned, primarily to the (CENTER)’s Administrative Assistant. A new assistant has been hired to perform the duties originally performed by the Administrative Support Assistant I, who now has greatly expanded responsibilities and challenges in her new role as the (CENTER)’s Programs and Events Coordinator.


    Position Purpose
    In the context of her new position, her duties now include planning and attending key (CENTER) events (e.g. Big Event name, the (CENTER)’s annual two-day signature event, and the Event series Name series speaking engagements); coordinating student recruiting; developing relationships with community partners; coordination of information and services to community partners; development; marketing of (CENTER) events; public relations; supervising and coordinating the writing, editing, and publishing the (CENTER) newsletter, promoting awareness of the (CENTER) to students and community members; interacting with senior-level executives both internally (e.g. The (CENTER)’s Advisory Board) and externally (Organization, Organization, and key business partners and sponsors), and other duties in support of the day-to-day operations of programs and projects. Additional duties for the position include supporting events and initiatives that sustain other (CENTER) programs, including the Program name, name, and name.

    In summary, an increased level of difficulty has resulted from the expanded scope of responsibilities, duties, and challenges that come with this new position. These changes justify a re-classification to Program Specialist I.

    Reclassification: (Center) Program Specialist I

    This is to document the reclassification of (CENTER) Administrative Support Assistant I (administrative Assistant) to Program Specialist I as of DATE.

    Following the sudden resignation of Old employee on June 24th, 2005, her job responsibilities were primarily re-assigned to the (CENTER)’s Administrative Assistant, Ms. Villanelle. Over the last six months, Ms. Villanelle has taken on new and expanded responsibilities and demonstrated both initiative and flexibility. As a new assistant has recently been hired, we are requesting reclassification in order to enable Ms. Villanelle to continue on in her new role as the (CENTER)’s Programs and Events Coordinator. Her performance in these duties has been exemplary.

    Position Purpose:

    In the context of her new position, Ms. Villanelle’s duties now include:

These changes in job description and her grace in meeting these challenges justify a re-classification to Program Specialist I.

    Thanks Pocket!! You dont' think it is too informal to use bullet points? My only clue about what they may want is the reclass write up my co-worker gave me from when she was reclassed a few years ago. She never mentioned herelf by name, which is why I didn't, but it's so cumbersome not to and your's reads so much more smoothly.

    Any other comments?

    I just think it sound less stilted with the name in there, and less stilted = more convincing! But make sure Dionysia sees it or another HR person. This is your new job? It sounds great – right up your alley.
